Creating Forms

We can make small amendments to any of our off-the-shelf work forms for free.

Our Stock Sheet/Take, Holiday Request, On Hold forms, Billing forms including: Quotes, Purchase Orders, Sales Orders and Invoices are not customisable in any way as they are part of the core system. 


What changes are possible before a form is chargeable?

  • Free amendments to an off-the-shelf form includes: hiding a field, changing the way a field behaves (required, non-required change only) or changing a field title. Any other changes will require a new custom form to be built by a developer, and is chargeable.

What does a chargeable form include?

  • Custom built to your specification, to work within the parameters of Re-flow using our available fields types only. Developers will build you an App form, accompanied by a PDF. We recommend becoming familiar with the system and forms before any custom forms are created.

What is the turnaround time of creating a form?

  • You can submit your form via the 'Support' section of your Re-flow Dashboard. Once received, forms can take a turnaround time of 4-5 working days on average. During busy periods, these forms can take up to 10 working days to create.



 

Dashboard Forms

 

Dashboard Users are able to open any of their forms, from the Dashboard. This can be enabled by: Forms > Clicking on form name > + New top-right.

 

You are then able to complete a form, direct from your dashboard. Photo options will ask to add a file from your computer, which can be dragged and dropped into place. You are able to to digitally sign a form with your mouse. Dashboard Users will have access to edit the forms. You can restrict these permissions by creating a User Group.

 

 

Saved Forms Vs Submitted Forms

 

When Re-flow’s App forms are submitted by an App User, they are received by Re-flow's Dashboard. Forms sent to the server usually receive a Form Status of 'Saved' or 'Submitted'. If an App User Saves a form, it will be saved to their device, and in the Form list view its status is Saved, this is because the form has not been completed for final submission.

If an App User Submits a form it will have a Form Status of 'Submitted' with an accessible PDF preview.

Access Form Management Settings

It is possible to change the way your forms behave by clicking on the form settings icon from Forms within the left-hand menu. You can how you would like to display the PDF filename, who can see the form, if a submitted form is sharable against the Job, so other App Users can see the PDF submitted. 

 

To enter the Form Settings, click Forms from the left-hand menu > hover the cursor over the form title in the sub menu > Click on the pencil icon that appears next to the form name.


Restrict Re-flow Forms to specific users or groups

 

You can restrict who can access the form from the App, by enabling the tick box 'Restrict who can view this data in the app'. By adding individual App Users, the form will only be accessible by those selected. The form will remain hidden to those, not assigned. The Assign Users restrict feature is consistent throughout the system and follows the same process as receiving page data from the Knowledge Base.

 

Restricting a Dashboard User Group, to view specific Forms

 

Important: Dashboard Users are Super Admin, they have access to view and edit everything and will not be restricted.

 

To enable a Dashboard User to view specific forms, you will need to first create a User Group. With a new User Group you can restrict what forms they have access to on the Dashboard.

You can restrict who can view the form from the Dashboard by enabling the tick box ‘Restrict who can view this data in the app'. By adding the newly created group, this form is now restricted and will require you to add the 'App User’ User Group - so App Users can still get access to the form from the app.

 

Example:

  • Our ‘Plant Training’ form is accessible by our User Group with access to the Dashboard titled ‘Office Plant Training Form Only’.

  • Our ‘Plant Training’ form is accessible by all App Users, as we restricted the form to the User Group titled ‘App User’ .

 

To hide all the other forms in the system, to only be accessible by App Users in the field, we could restrict all remaining forms to App User.

This restricts visibility of all remaining forms, from the group ‘Office Plant Training Form Only’. Only App Users (and Dashboard Users) will have access.

Form Fields

Saved Form Title: You can customise the name of your saved form. Using the tag icon on the far right of the field. This will enable you to add dynamic data pulled from the form. Such as the Job, User etc..

PDF Filename: You can customise the name of your generated PDF. Using the tag icon on the far right of the field. This will enable you to add dynamic data pulled from the form. Such as the Job, User etc..

Save/Edit/Copy/PDF Link: Enables the buttons to be visible and active on the App Form.






Entry Type

Adjusts how and where forms are viewed within the App.

 

Other Forms: Also known as a 'Standard' form. Other Forms are forms that require no Job/Project/Site/Contract (example: Vehicle Safety Check). If a Work form is set to 'Other Forms' and is opened from the App Homepage, App Users will be able to select from a list of jobs they are scheduled on. This process negate them having to view the work information in Schedule.

Work Forms: Work forms are forms that require the Job/Project/Site/Contract. App Work Forms are found in ScheduleJob/Project/Site/Contract > Forms.

Hidden Forms: Hides the form from the App.

Task Forms: Hides the form from the App except when it is added to a Task. This is extremely important if Work Forms are used to track the progress of a Job/Project/Site/Contract and drive automated progress.




Enable or Disable Re-flow Forms

This will enable the form to be accessible as part of your workflow. Disabling the form will remove it from your sub menu list into a 'Disabled' category and block any access to App Users. 


Share Form PDFs on App

This will enable the history of any submitted forms against a Job to be viewable from the ScheduleJob Title > Documents > Shared. Note: this uses device memory. This is a great feature for sharing photos, site surveys or daily work records against the job that all users might need to see.




Share Form Assets on App

 Enables sharing for form assets, such as Photos. Sharing assets can provide a thumbnail sheet of photos, directly on the app, as the PDF design would not be required.


Controlling Stock with Forms

Your stock quantity resides in Records. You can view how much of each item is in the Depot or Vehicle, by viewing the Item Record and selecting the 'Vehicle Stock' tab or 'Depot Stock' tab. These tabs will indicate how much of the itemised stock is allocated to the Depot or Vehicle. Each Record generates a unique QR code. You can print this code off and use it for your stock items.



  1. Create your Depots/Sites (example: Stock Warehouse) in Records > Assets > Depot.  

  2. Creating Stock Levels: You can initially set the stock levels in the Depot & Vehicles directly, for each Item, in the Dashboard. Select Records > Materials/Products > Items and set the quantities in the 'Vehicle Stock' tab or 'Depot Stock' tab. You can also set your quantities with the Stock Take Form (Depot or Vehicle), on the App and the values will be applied to the Record when the form is submitted.



Depot Stock Sheet: This Form is used by App Users to take items in or out of stock.

Depot Stock Take: This form is used to set the quantities (add or remove) of stock for your Depots. Resets the levels in the Dashboard. (it is recommended this form is restricted to authorised Users)

Vehicle Stock Sheet: This Form is used by App Users to take items in or out of stock.

Vehicle Stock Take: This form is used to set the quantities (add or remove) of stock for your Vehicles. Resets the levels in the Dashboard. (it is recommended this form is restricted to authorised Users)
