To ensure a smooth, stable Re-flow experience, please ensure Dashboard Users are using the web browser Google Chrome. App Users must be using iOS (Apple) or Android devices. iOS App Users can download the App 'Re-flow' from the App Store, and Android App Users can download the App 'Re-flow' from the Google Play store.

For Your Information 1: Dashboard User & App Users (Licensed Users)

Dashboard User

  • Creates the Job Pack

  • Schedules Users, Plant/Equipment & Vehicles and links to the Job Pack

  • Creates & Restricts Tasks

  • Adds content (Knowledge Base, Records, Files (PDFs, PNGs & JPEGs)

  • Reviews Job progress any submitted App forms

App User

  • Receives the Job Pack (and details of scheduled users, plant/equipment & vehicles)

  • Completes Tasks against job pack.

  • Submits App forms against project/job/site/contract - forms are sent to the Dashboard.

Video 4: Filtering and editing the List Views

 

Edit the dashboard list view in Jobs and the Schedule List View. Add field information from the job, change the column order and edit the titles. You can also do this for all your Records, Users and Forms list views.

 

 


For Your Information 2: Setting up jobs/projects and scheduling them

 

Jobs: Create the Job Pack. Add your relevant information. This will be one job. You can use the same title for different jobs, if required.

Schedule: Add an Event (visit) against the Job Pack, one visit per day is common, as App forms are required to be completed each visit. A Task or Task Preset is optional on each event. This is a To-Do list against the visit. A Task can include text instructions, links to PDFs, PNGs & JPEGs, or, App forms. It is recommended you only link job specific App forms to Tasks.

 

Tasks automate Job progress, without tasks, a Dashboard user will have to manually change the Job progress from Pending, to In-Progress, to Complete.


For Your Information 3: Automated Progress

 

Tasks: If Scheduled Events (visits) have Tasks included - Dashboard Users will be able to track the task progress as it happens.

In the Schedule List view Dashboard Users can filter the Job and see all the Events scheduled against it. Tasks enable App Users to write comments or mark a task as incomplete. 

 

Colours represent task status and will be consistent throughout the system (List view and Calendar view).

Pending = The task has not been started

In Progress = The task has been started and more tasks are to be complete

Complete = All tasks added to the Event are complete

On Hold = The Job/Project/Site/Contract is on hold

 


For Your Information 4: Versioning

View previous entry: You are able to see when and who changed field data. You can also revert data from 'Current' to a previous version, by selecting and clicking:  top-right.

 

Job/Project/Site/Contract: Could be as short as one hour, or, span years. It contains all job related informationExample: Job number, job notes, pdf documents and interactive forms: daily return sheets, surveys and photo uploads etc.

Schedule: An 'Event' scheduled relates to when work will start, what plant/equipment/vehicles will be used and which App Users will be assigned to receive the Job/Project/Site/Contract information. Multiple staff can be assigned to each of these events if necessary. When a schedule is applied, it becomes a Scheduled Event.



Accounts: Create a quote, purchase order, sales order or invoice.

Forms: Access submitted forms, change permissions on forms or disable them from appearing on the app.

Reports: Bespoke reports enable Dashboard Users to collate and view the data in one place - the data can be collated from project information including any form data associated with it.



Knowledge Base: Create information for app users, Knowledge Base pages can be restricted to be viewable by specific users where required. This space is best suited for information such as, Company Policies and Employee Handbooks. 

Records: A collection of database entries. Example: Vehicles, Clients, People, Equipment.

Files: PDFs and images (JPEG & PNG) are created here and auto archived. 

App Preview: Dashboard Users can preview the app in a virtual environment and log in as any app user. This a ideal for those wanting to check specific job information is reaching the app.

Settings: Access to - Fields: Incriminator Groups. Forms: Auto Form Status, Email Notifications and Form Statuses. General: App Homepage, App Settings, Dashboard Settings, Invoice/Quote Settings. Logs: Delete Log. Tasks: Task Presets. 

 


For Your Information 5: Disabling and Enabling (archiving) Jobs

Dashboard Users can Disable a Job/Project/Site/Contract List View by selecting the row Tick Box and then select the 'Actions' icon . You will then be presented with 2 options, Enable   Disable.

This allows you to Disable any Job/Project/Site/Contract information going to the App. This action is consistent with Events, Records and anywhere else the eye icons appear.  Using the Disable action with the Filter  icon will enable you to archive information which is not visible in the views, until you require to access it at a later date.

For Your Information 6: I Forgot My Dashboard Password

If you’ve lost access to your account by forgetting your password from the main dashboard login, Re-flow can forward you details on creating your new password.



Instructions

Step-by-step guide:

  1. Access your management dashboard at the relevant url. (example: https://XXXXXXXXXXX.re-flow.co.uk). At your re-flow login panel click 'Forgot your password?'.

  2. Enter your username or email, associated with your Re-flow account. Click 'Reset Password' button. 

  3. Check email for instructions to reset your password.
