Latest Dashboard Update 1.5.28

Here at Re-Flow, Christmas has come early and we’re giving you the gift of Dashboard Update 1.5.28!

These changes will happen automatically and free of charge within the coming weeks, you do not need to opt in or enable anything to receive these.

FORM REPOSITORY

We have reviewed and re-built a library of our most commonly used forms and made them available to browse and install for free at any time from within your dashboard.

For our longstanding customers, this means that you can safely remove forms from your system that you do not plan to use without worry that you won’t be able to get them back if circumstances change, leading to a shorter and tidier list of forms for your operatives. You may also find that there are forms in here that you may not have had access to previously.

The forms within the repository have been built to our latest standards and where possible will allow for you to edit both the form and the PDF to make them your own. Unfortunately, some of the more technical forms such as timesheets are not able to be edited at this time.

The forms have been categorised by industry and will show a brief description and preview to help you find ones to best suit your needs.

To browse the form repository, click “Forms” > “Manage Forms” > “Form Library”

 

We will be looking to expand upon this repository in the near future, and will keep you posted when we do!

DAILY TASKS (requires app v1.8.936 or higher)

We know that your operatives often need to complete certain tasks in order to comply with Health and Safety regulations, such as a Vehicle Safety Check, or just to make sure you get the details you need to bill a client correctly. To help enforce this, we have now introduced an option for “Daily Tasks”, which your app users are prompted to complete as soon as they open their app at the start of the day.

Within Settings > App Settings you can choose whether these tasks are prompted for, or fully enforced, meaning the user cannot proceed without completing this task and will be blocked from other areas of the app until the task is complete.

To enable daily tasks first go to Users > Select a User > Click profile > toggle “Daily Tasks” on. As this is done per user you can select which users must complete the Daily Tasks. If this applies to multiple users, this can be set using the Bulk Update feature.

 

Then go to Settings > App Settings > Scroll to the bottom to set up your daily tasks, once enabled the user will not be able to use the app until this task has been completed.

 

AUTOMATIONS BASED ON BILLING

You can now trigger automation based on the status of your Invoices, Purchase Orders, or Sales Orders. To do this all you need to do is go to Settings > Dashboard Automations > New Automation > Send Notification.

 

IMPROVED ASSIGN USERS INTERFACE FOR EVENTS

This now supports setting your operatives positions on the fly for each event, so that a single operative can cover different roles each day. Adding a group now also adds the individual users from the group rather than just the name of the group.

When viewing the event on their App, your operatives will be able to see what position each of the assigned users have been allocated within the job information.

This functionality replaces the original Lead Operative field.

UPGRADED RESOURCE ALLOCATION ON EVENTS

Using our new Resource Allocation field you can specify how many vehicles, operatives, or items you need on an event without needing specify the exact person/item at this stage. When you return to allocate actual resource against these reservations a progress bar will appear to show you if you have all the resources you need. The system will also alert you if the resource is not available for that date, helping you to avoid scheduling conflicts.

To use this feature you need to create an Event with the event type of “Reserve Resources” or you may add the Required Resources to the job on the Schedule Tab

 

PREFERRED START/END DATES FOR JOBS

For situations where jobs have a tentative start/end date but need further refinement at a later date, you can now set a Preferred Start/End Date to pencil the job in.

Once you have set a preferred start time you can go to Schedule > Select View “eye icon” > Select Jobs, and you’ll see a dotted line where the preferred start date for that job. This will allow you to see any overlapping jobs before you book the finalised event.

 

RESOURCE AVAILABILITY AND ISSUES SHOWN ON CALENDAR

When setting a preferred date for an event, if you plan out your required resources some icons will now be shown on the schedule to indicate whether you have available resources and if the resources are available they will display as green, or they will be red if there is a conflict or lack of availability.

This feature can be turned on via the settings cog icon on the schedule calendar view.

CLEARER ERROR MESSAGES WHEN DELETING ITEMS IN USE

When attempting to delete files or assets in the system which are in use elsewhere you will now be prompted with a link to where it is currently in use. Once you unlink the asset or item from that section of Re-Flow you can delete the item or asset.

IMPROVEMENTS TO AUTO ASSIGNMENT ON SCHEDULE

When assigning a Vehicle, the system can automatically add the correct operator based on who has been assigned on the vehicle record, or the correct vehicle will be automatically added when the operator has been assigned to the event, whichever happens first.

NEW HOLIDAY REQUEST SYSTEM

This update is optional and available upon request via the Support Team

Our upgraded holiday request system now allows holiday to be added either via the Holiday Request Form or directly added into the Schedule page like any other scheduled event, and the remaining holiday allowance will be automatically calculated.

Holiday now also takes into account the current holiday period/year, and will reset automatically on a set date, which can be controlled via Settings > Dashboard Settings

REMOVAL OF LARGE PDFs FROM EMAIL ATTACHMENTS

To help improve reliability of notifications arriving to mail servers, our notification emails containing PDFs that are over 20mb will automatically change to a link giving the recipient access for 30 days or allowing them to download a copy instead of attaching the PDF. This will aid in preventing these emails being rejected for large file size or going into spam filters.

Note: This only applies to emails sent via the Re-Flow default servers - if you are using custom mail servers you can still opt to send the PDF regardless of file size.

EXTRA SUPPORT FOR COLOURING IN FORMS

Using the updated “Colour Fields” formula you can now set colours for the title, background and content of most fields within your forms.

This functionality works with conditions, allowing you to highlight fields in different colours depending on the circumstances - for example, marking a text field in Red if there is a defect logged.

MATHS BASED BULK EDITS FOR NUMBER FIELDS

When bulk editing you can now set a value, add a value, or subtract a value, ideal for updating multiple items at the same time for annual price reviews without needing to figure out what the new amounts would be for each item individually.

 

 

 

NEW TOKEN PICKER

We have improved the look and functionality of the token picker, making it much easier to find the field you are looking for.

By default the title option will be displayed as normal but by clicking the button at the top of the token picker you can also display the identifier to help you pick tokens more accurately if several have the same title.

OPTION FOR EVENT CONFLICTS TO IGNORE DISABLED EVENTS

You now have the option to ignore event conflicts on disabled items. This can be set by going to Settings > Schedule Settings > Event Conflict Settings

 

SYNCHRONISED NOTES ON REPEATING EVENTS

When you have a series of events, the notes field on these will be synchronised to be the same regardless of which one of the series gets edited.
