The season is changing, and here at Re-Flow we're excited to show you the results of our spring cleaning.

There are a few changes coming to your Re-Flow dashboard which are designed to enhance the way you interact with and view Re-Flow, allowing you to locate and input data faster than ever!

These changes will happen automatically within the coming weeks, you do not need to opt in or enable anything to receive these.

First, we have refined and unified our modal / pop out windows so that they are consistent throughout our system and have enhanced functionality. As an example of how these can be used, you can enable them on your Jobs page to allow users to create/edit jobs, see information about that job or schedule without you having to leave your current window, ensuring your filters and page progress remain intact without the need for opening each job in a new tab.

The new version of the pop-up window retains the layout and tab formation of the standard jobs page, so you no longer need to scroll through all of the available information to get to the section you require and the information you see is in a familiar format - the comparison below highlights some of these improvements.

To enable this feature on the Jobs page, please follow these steps:
Click “Jobs” > Click the “Settings Cog” > Click “Options” > Check “Edit items in popup window” > Click “Save”

Schedule, new Duration Filed

Whilst updating the look and style of the pop-up window we have made some improvements to the way jobs are scheduled too.

When setting a start and end date/time you now have the option to either select a duration, which will automatically complete the end date/time based on your selected start date/time, or you can fill in the end date/time as before and a duration will be calculated accordingly.

We also have made it easier to add events ahead of time without your operatives to seeing them immediately, just in case any details change in the build up to the event. We have moved the “Publish date” feature into a new “Go Live” option, allowing you to add jobs in the future but have the “Go Live” set to as little as 1 hour before the start date time, and the operatives assigned to the event won’t be able to see the Event and tasks until the relevant time.

You may also notice that the new Expire option this is now a mandatory field. This functionality  “Disables” the job a certain number of days after the event ends. This means that Admin/Dashboard users will be able to see the job indefinitely, however, they’ll stop showing on and syncing to the Re-Flow application for App users. We have put this in place to make the syncing process quicker for App Users and ensure that forms are not filled out for old jobs with similar names accidentally.

Please Note: Expiry is set to 1 month by default.


Daily Reminders

We have often been asked if there is a way to remind users to complete Tasks or finish synchronising pending Forms at the end of the day, and this is now possible via “Daily Reminders”

Daily Reminders are an option you can enable that will send reminder notifications to your app users when they have outstanding task to be completed or forms that are pending sync on the device before they will appear on the dashboard.

For example, you may need these reminders to be sent out every day at 16:00 to reminder users of any outstanding Forms or Tasks – ideal to remind operatives to sign out of their timesheet before they leave site!

To enable this feature, go to “Settings > App Settings” and scroll to the bottom to see “Daily Reminders”

From here, you can set the times you would like the reminders to be sent out at and click Save.


Single Visit, Work Type

The “single visit” work type has been created to help streamline your processes when a Job will only ever be a single visit rather than repeat events, allowing you to create a scheduled event directly on the job upon creation rather than needing to create a separate event for this job afterwards.

This is work type is ideal for Jobs without tasks or emergency Jobs where less detail is required from your operatives than usual.

This option can be enabled on any of your “Work Type” records.  you can find this in Records > Work > Work Types > Create New or Select an existing work type

You will see when creating a new Work Type or adjusting an existing one that there is now an option to tick “Single Visit”, as shown below.

Once you’ve done these steps, any new jobs made with this type will display the “Single Visit” event features as described:

 


Presets & Defaults

We have also enhanced the way you interact with and define presets and defaults for selections within Re-Flow, making this quicker and easier to set than ever before.

You will notice after several fields in your dashboard there is a new menu button with three dots.

Clicking this button will either allow you to create/use presets or set a default, depending which option is available for the field in question.

In this example I am creating a preset for “Work Documents”, to save me from having to select the same few on each new job. To do this I have opened the job and selected the information tab, then added the documents I would like to have in my preset.

I can now click the button as shown above and click “Presets”

When I click “Save as preset”, I am given the option to name my preset for future reference, and clicking OK confirms this.

Now when I need to add these work documents to another job I can click the button and select the preset I created earlier, instantly adding this list of items again. You can store multiple presets for the same section to speed up the creation of Jobs where the information remains the same on multiple jobs.


Billing Bulk Status Update

To help streamline your processes, you can now change the status of multiple invoices in a single action using the “Set Status” option found in the action Menu.


Event Type Defaults

This feature allows you to define default settings for each of your event types, helping you save time when adding events in the dashboard with similar details.

This allows you to set a variety of different fields to default, including default Task Lists, Event Durations, Titles and Expiry Dates.
